RUTLAND TOWN SELECTBOARD COMMITTEE MEETING
TOWN WIDE CELEBRATION COMMITTEE
TUESDAY AUGUST 2nd, 2022
The Town Wide Celebration Committee of the Rutland Town Selectboard met at 5:00PM on Tuesday August 2nd, 2022, at the Municipal Town Hall. Present was Selectboard Member Mary Ashcroft, Board Chairman Don Chioffi, Board member Sharon Russell, Board member Kurt Hathaway, Rec Director Mike Rowe, Town Administrator Bill Sweet, Town Planning Commission Chair Barbara Pulling, Town Fire Chief Chris Clark, and Kim McGee from the Roadside Chapel.
The committee met to discuss the planned Town Wide Celebration for August 27th.
- Kim McGee from the Roadside Chapel was present to offer the help of their members for the Town Wide Celebration. They had a community day planned for the same day and decided to cancel their event and help with our instead.
- A chart was handed out with a list of tasks and people assigned to them.
- Food for the event has been ordered. Paper goods will be purchased by the Rec Department.
- We will need ice for the day. We will buy it locally the day of the event.
- Selectwoman Russell will pick up the food from Kamudas Market the day of the event.
- Propane is still needed. It was donated by Keyser Energy in the past. Ms. McGee said a member of their church works at Proctor Gas and they may be able to help as well. Selectwoman Ashcroft will take care of finding a source.
- The pickle ball courts are ready now and we can highlight it on the day. Discussed having a Town department challenge with each other.
- We have confirmed a small tractor and trailers for rides.
- The Planning Commission will launch their energy survey at the event. A banner has been purchased. Tables will be available for them.
- A majority of the parking lot will be closed off. The handicap spaces will be available. Parking for everyone else will be in the same area as it is for fireworks.
- Volunteers from the Roadside Chapel will help with events for kids, such as face painting.
- Several corn hole games will be available this year.
- There is no rain date for the event, since this is the last day the pool will be open.
- Discussed some options for giveaways. The Roadside Chapel will donate a parent / child season pass to Pico to be raffled and the Rec Department will raffle off some season passes for 2023.
- Vendors and organizations who are contributing or helping with the event will be allowed to put up banners.
- The helicopter will be directed to land to the right of the parking area.
- Extra copies of the flyers will be made to be able to go to the Roadside Chapel.
The meeting adjourned at 5:55 PM.
